Guest Track Operation Instructions
Getting Started
With the installation of your Guest Track diskettes,
the files will automatically be placed in you
Program group.
- Click Start
- Click Programs
- Click First Resort
- Click Guest Track
Setup
Prior to running Guest Track the following setup
functions must be performed;
- Click Edit
- Click Setup Options
There are 4 areas which need to be completed in the
Setup Options box.
- Guest Track Directory will be filled in
during the installation process; the default location
is c:\guesttrk. This is the directory where the new
Guest Track file lives. The file name is
GUESTH.MDB.
- First Resort Directory - fill in the
directory where AVMAIN lives. For most clients
this will be F:\ACCOUNTS.
- First Resort Business Code - fill in your 2
or 3 character business code.
- First Resort Last Folio - set this field to
'0' to reload all folios available in the system.
Loading Reservation and Mailing List
Data
Reservation information is loaded automatically upon
launching Guest Track. Mailing List, Owner, and
Travel Agent data may be imported by clicking on the
Record menu option, then selecting the specific data
type to import.
Display of Stays
- Click Display Stays button on the bottom
right hand side of the client data screen.
This report will show you a list of properties with
arrival and departure dates of all stays for the guest
you have selected on the client data screen. You may not
add stays manually by hand on this screen. Stays can
only be added through the import function.
Display of Categories
- Double click Display Categories
During "update" a new category will be made for each
source code the guest has.
ADD categories by;
- Click Add Category
- Insert the category you wish to add
- Enter a short description for this new category
To DELETE a category;
- Double click on the category you wish to delete
- Click YES if you wish to delete this
category
- Click NO if you do not wish to delete this
category
New Fields
- Email
- Salutation
- Cell phone #
- No mail/invalid address check box. (This will
prevent pulling this same bad address into the
database every time you do an update.)
Toolbar
The following is a list of buttons available on the
toolbar. If you place the mouse over the toolbar items
you wish to identify, its definition will appear below
the item.
- First record in file
- Previous record in file
- Next record in file
- Last record in file
- Search for a specific client
- Save or Update is used when a change
is made to a record
