Rate Utilities Function
First Resort has a special rate
utility function that makes it easy to update your rates
for the upcoming year.
Procedures
To access the rate utilities function select
S-R-U from the main menu. The most commonly used
choices are as follows:
- R to Replace - This function takes an
existing date range such as 06/01/95 - 09/04/95 and
replaces this date range with next summer's dates,
i.e. 06/01/96 - 09/04/96. Do not use the replace
function if you still need the existing date range.
- C to Copy - This function leaves the
existing date range intact, and creates a new set of
records for the new period.
- D to Delete - Takes a specified date range
and deletes these records from your rate tables. This
function is useful if you old date ranges, i.e. 1992
or 1993.
- For record type, it is safest to use E for
everything, so that no add-on records, extra person,
etc. are missed.
- I to Increase - Used to increase by a
percentage and rounded according to your
specifications.
Example: For a nightly rate record you would enter
the following: rate times 1.00 result times 1.10
rnd 1.00 div. 1.00 rounding method U.
The results of this would be a 10% increase on the
nightly rate, rounding up to the nearest dollar
amount.
- B to Build - DO NOT USE THIS FUNCTION. This
was designed to add the rate group field to existing
rate records in an earlier version of avmain. If this
function is selected in error, the rate group field
will disappear unless you indicate Y (yes) to
use new rate indexing.
You may want to make a copy of your existing rate
file before making any major changes to your records. To
do this, exist out of First Resort, and get to a
DOS prompt. You will need to get into the
accounts directory, typically, F:\ACCOUNTS. At
the DOS prompt type: COPY SYLBBB.*
SYLSAV.* where BBB represents your business code. If
your business code consists of only 2 letters, the
command would be: COPY SYLBB0.* SYLSAV.* (the
number zero represents the third character).
Prior to using the rate utility function, you will
need to determine the actual date ranges that exist in
your rate table. To do this, select S-R-E from
the main menu. At the Rate, Deposit and Tax Table
Editing screen, leave the default R and
F10. If you get the message Entry does not
exist, press return, and try pulling up a rate by
unit type or Property code. Once you have pulled up a
rate record, go forward through the file, noting down
the date ranges you wish to delete, copy, replace, and
increase. These date ranges must be noted exactly as
they appear, with the "from" month, day and year and the
"to" month, day and year.
Prior to starting the procedure, you will also want
to note the exact dates for the upcoming calendar year. |
