Printing Mailing Labels Through Excel or
Word
First Resort will not print 3 across laser labels or
custom sizes, i.e., for check-in folders, without first
EXPORTING the file from First Resort and saving the
resulting file as a .txt (TEXT) or .xls file. If you
EXPORT the file from First Resort, it will write an
"ASCII, Comma Delimited Formatted File" which will then
allow you import into a spreadsheet, label program or
word processor to do the Mail Merge. If you use a
.txt file and go right to Word, you will lose the first
label because Word uses it to create the label
format.
Creating the export file - automatically Comma
Delimited The file can be created in a number of
places within First Resort, depending upon what
information you want. Here are some of the types of
labels available:
- Mailing Labels - Miscellaneous - Print or Display
Names or Labels (M,P)
- Mailing Labels - Business AP Vendors - Print
Mailing Labels for AP Vendors (C,R,M)
- Mailing Labels -Guests - Print or Display Mailing
Labels or Addresses (R,T,M)

Example - Guest Mailing Labels
- In First Resort from the Application Selection
Menu Screen choose R,T,M
- At this screen choose R
- On the next screen make the appropriate choices
for the labels you want and the date range you wish to
print from, then press F10
- On the next screen choose F for printing to a
file, then press F10
- Now you will be asked to name the file. Remember
to include the .txt or .xls. Using .xls will make it
easier to find in EXCEL, WHICH SHOULD BE THE FIRST
STEP. Give it a name of 8 or less characters. Since
you may be doing this more than once, you might want
to consider something like labMMDD.txt, where MMDD is
the date you printed that file. The file will be saved
in the same directory as First Resort - usually
accounts. It's usually somewhere on your network
drive. Make sure you know where it is so you can find
the file.
Another idea for Custom Labels - these are created
by using First Resort letter logic By using the
R-S option, you can chose to export a file with
information which you have created (and collected) using
a custom letter file created in First Resort thru S-L.
This might be a check-in label you want in a 2 X 4
format. If you use this option, enter F at the Enter
DISPLAY, PRINT, VIEW, or CANCEL :V: location. Even
though it doesn't appear as a choice, it will allow you
to create the export file. Below is an example of letter
logic for a label from SE folios:

After you have created the letter logic in S-L, use
the R-S screen and choose the folios for which you want
to print (LT, ST, SE). Then choose 0 (zero) for the
Other Forms option to print the letter (label). Enter F
at the Enter DISPLAY, PRINT, VIEW, or CANCEL :V:
location (even tho it doesn't appear as a choice, it
will allow you to create the export file.) Press F10.
Enter the date span you want to cover, then Y to confirm
the dates. Follow Step 5 above to create the export
file.
Opening the Exported File in Excel
- Open Excel and click on File then Open and then
look for the file you just created in the Accounts
folder or wherever your First Resort files are
located. If you have used the extension .xls you will
not need to change the type of file you are looking
for, if you used .txt, make sure you change the file
type to Text file.
- Double click on the file, the Import Wizard will
appear. These files are in Comma Delimited format.
Click Next and check the Comma box. Click finish.
- The data should come on the screen in columns. You
can adjust the column width it you like. You should
Right Click on the 1 in the top row to highlight it
and then choose to Insert a blank row. Add column
headings for each column. These will be the field
names you bring into Word to create the labels.
- When you have the column headings in place, click
on file and Save As. Save the file as an Excel
workbook (.xls). It will be saved in the same location
as the original file!
Creating the labels in Word
- Choose TOOLS then MAIL MERGE then CREATE.
- Choose MAILING LABELS and click on ACTIVE WINDOW.
Then Click on GET DATA and OPEN DATA SOURCE. On this
screen, you will probably need to change the "Files of
Type" box to look for .txt or .xls files.
- Find the EXPORTED file you created and named in
First Resort. It will be in the Accounts directory on
the drive where First Resort is located. When you find
the file, highlight it and click OPEN. Click SET UP
MAIN DOCUMENT in the next window.
- You can choose or change the label format from the
options in the dialogue box. 5660 is the 3 across
format.
- In the next window, CREATE LABELS, you can format
your own labels with each field from the export file.
You can pick each field from the Insert Merge Field
list - WORD knows the names of the fields from your
export file. If you have used Excel, they will be the
column headings. You can grab any field and bring it
down into the place you want it. Edit the location and
setup on the label with carriage returns or commas or
text.
- The next step is MERGE. Click on Merge, make sure
you mark the box not to print blank lines, then Click
on Merge again on the next screen.
- You will see now the labels in the Word window
formatted exactly as you designed them. You can edit
the font size or type.
- When ready, choose the FILE/PRINT from the tool
bar just as would any other document you would want to
print. It may be a good idea to do a test print or
Print Preview to ensure alignment!
