How to Track Overbooks

The option to overbook is a very powerful tool in managing your unit availability. However, it can present its own unique opportunities, expecially if the guest, that does not have a unit, is standing across the desk asking "what are you going to do about this."

  1. Checking Availability R-C, will scan all of your properties for date range.
    • Enter arrival/departure set up
    • Line 2, Enter 999 (to look at the total number of rental properties)
    • Line 3, Enter "N" to search all the properties regardless of their bookings
    • F10; to see more properties, press the down arrow twice
    • Over booked dates will show as "OOOOO"

  2. Checking Availability by using the reservation board report.
    • Print the Reservation Board R-V-R, enter the month range you are reviewing
    • Overbooked units will show as "OOOOO" for the days of the overbook

  3. DOS Management
    Every time the system records an overbook, First Resort will "record" the entry in a DOS file called RSBbbbOVB. (bbb = your three letter business code, for business codes of less than 3 characters, use zero to fill in 3 character codes.) It is possible to print this file to your printer if you have a good understanding of DOS (noted below). However, First Resort will not print the file once a correction has been made.

    • The current file must be deleted, once printed, as it contains all the overbook entries that have ever been made, most of which may have been corrected. Go to DOS, in the accounts directory, and delete this file (in DOS, type del RSBbbb.OVR). This will allow First Resort to create new overbook records as they are made, starting today.

    • After a period of time, print the file. Go to DOS, in the accounts directory, type NPRINT RSBbbbOVB NB NFF Q="YOUR NETWORK/PRINTER QUEUE NAME" (bbb=you 3 digit business code). It is also possible to see the content of this file, using First Resort's text editor (H-T) or using the DOS edit command.

    • Audit all listed overbooks to see if the overbook condition still exits and correct if necessary. After the review, go to DOS and delete this file (in DOS type: del RSBbbb.OVR). First Resort will recreate a new file the next time an overbook is created.

  4. At the folio level, type "G" to switch to arrival within the assigned property order. This will show the next arrival for this property code.

  5. Alt F10 from the R-C screen. This report will show overbooks by unit type. It may require some additional setup. See Help at the Alt F10 screen.

  6. Rebuild Availability (S-B). First Resort will send information about any overbooks from the person running the overbook from the ERRbbbuu file.

    First Resort has three levels of overbooking allowance/restrictions.

    Business Setup:

    1. System Setup page 10; Allow overbooks to occur Y or N.

      • Y = Overbooks are allowed. A warning is given that an overbook is being entered but it will be allowed, as long as the property which is being overbooked, and the user trying to overbook the property both have "Y" in the "OvBk" field.
      • N = Overbooks will not be allowed, even if a property has a "Y" in the OB field on the propperty screen P-A-P, or a user has a "Y" in the "OvBkOk" field on the user code screen.

    2. By property
      • Option Yes or No on P-A-P screen in "OB" field. N will designate this property does not allow over books.

    3. By User code
      • Option Yes or No on H-U, in "OvBkOk" field. N will designate this user can not overbook
