PMX Subtotal Records
PMX (property management transaction) subtotal
records are system generated transactions created to
allow the system to re-print owner statements for past
periods. These records store the month end balance for
each owner but have no actual accounting attached.
Subtotal records are created by one of several means;
- At every month end, when the transfer of owner
balances occur (P-S-N), a PMX record is created that
equals the ending balance for each owner/property.
- When owner checks are printed (based on final
balances) and the owner's Balance for this owner as
of MONTH, DAY, YEAR is adjusted. (Typically from a
credit to a zero balance if the owner received a
check)
- When you "fudge" the Balance for this
owner.... value and confirm you wish to update all
balances. What you are telling the system to do is
remove all PMX subtotal records for this owner (back
to the start of the year or last archive date) and
recalculate new PMX records based on the new ending
balance.
- The diagnostic routine #7 (Subtot in PMX) will
globally remove old and create new subtotal records.
You are likely to encounter problems with missing or
bad subtotal records in 3 areas;
- Owner Balance report (P-R-O)
- Owner statements for selected dates (P-S-S)
- Owner histories (P-A-O)
Symptoms of missing or inaccurate subtotal records
might be:
- When running the Owner Balance report you get the
message:
Balance mismatch 01/31/95 pmx is 0.00 pmr
is 123.45, use latter
- Owner statement for past month(s) won't print. A
full year's subtotal records must exist to run even a
single month. If the record for January doesn't exist,
you can't run a June statement.
- When displaying an owner history you get the
message:
Previous Balance as of June 30, 1995 Not
