Adding a New User
Each employee who uses the
First Resort system must be given a User
Code and password for system access. These User Codes
help define the parts of the software that an individual
has the right to use. User codes provide a way to
restrict access to your company's data. Only those
employees who have been assigned a User Code will be
allowed access to the system.
After signing on to the
system, you will be at the Application
Selection menu. Press H for
System Setup Functions, and
U for Add or Edit User Codes
. When the User Codes screen
appears, select E to Edit a
User Code. The User Code Editing screen
will appear. Enter the user code you wish to ADD
and press ENTER. The following message will
appear if this user does not already exist in the
system:
Record for user code JB does
not exist for business code DEM Enter Y to confirm
that you wish to add a new user code OR press return
to continue
Enter 'Y' to add this
new user. The editing screen will appear. When adding a
new user code for a business, you will enter passwords
for both the business and user codes to be used during
signing-on in the system. You can also select which
applications a user will be allowed to access. The
following are the fields that you will want to complete.
- Business
Password
Enter 1 to 5 characters to be used as
this user's business password.
- User Code
Press
Return if you want to keep this user code. If
you want to change the user code, enter the new
2-character user code and the old one will be
overwritten.
- User
Password
Enter 1 to 5 characters to be used as
this user's password.
- User Name
Enter
the name of this user. There is room for up to 30
characters.
- Applications
Enter the
code letters of the applications that you want to
allow this user to access. The applications you enter
must be among those for which the business is
authorized as designated on the screen.
- Diagnostic
User
N = Regular user (has no special
diagnostic power). Y = This user has all
diagnostic rights (not recommended for normal use).
- Skip Screen
Pauses
N = When any report is displayed
to the screen, a pause will occur each time the screen
is full of data. Y = All pauses will be
ignored during screen display, until the report is
completed.
- Window
Menus
Y = Use the window-style menus
through the software. N = Use the non-window
style (uses less memory).
- Res: Usage
Access
N = This user cannot override the
usage effect that an individual Folio has. Y
= This user will have access to a field on the Folio
screen to allow the usage effect of that Folio to be
omitted.
- Res: Rate Diags
On
N = No messages regarding the rate
calculations will be sent to this user's ERR
file. Y = Each time this user causes a rate
calculation to occur, the rate records that are
examined and either accepted or rejected will be
listed in the user's ERR file. This is the most
effective method of diagnosing a problem in a rate
calculation.
- Res: Comm
O/Ride
Y = This user has rights to
override the commission on a Folio ('O' 'R' from the
Folio menu). N = This user does not have
rights to override the commission on a Folio.
- OvBkOK
Y
= This will allow this user to overbook a property,
provided that the "OvBk" flag is 'Y' in the business
set up as well as in the property. If a 'N' is entered
into the "OvBk" field in either business set up and/or
the property, overbooking will not be
allowed. N = This will not allow the user to
overbook any properties regardless of a 'Y' or 'N' in
the "OvBk" field of that particular property or in
business setup.
- Res: Fix Trn
NFETB
N = This user has no rights to fix
any Folio related transactions. E = This
user has rights to fix only expense transactions
entered against a Folio (using a Costcode with 'E' in
the type field). T = This user has rights to
fix only payment transactions entered against a Folio
(using a Costcode with 'T' in the type
field). F = This user has rights to fix any
transaction entered against a Folio, but not Owner's
Statement related transactions created by the Folio
(revenue, commissions, etc.). B = This user
has rights to fix both Folio transactions and Owners'
Statement transactions (anything visible from the
transaction history report on the Folio; 'O''T' from
the Folio menu).
- Notes: Show DRN;

1st Field D =
Show sticky notes by default, that is let the way the
sticky note was saved control how the sticky note is
accessed. Y = Automatically show all defined
sticky notes that are retrievable by this user upon
accessing any screen where such a sticky note has been
defined. This may override how a sticky note has been
saved. N = Do not automatically show any
sticky notes anywhere in the software. This may
override how a sticky note has been saved. W
= Do not automatically show any sticky notes anywhere
in the software, but a "Sticky Note Warning" (a
flashing character) will show in the upper left corner
of the screen to indicate that a sticky note exits.
The sticky note can be retrieved by pressing
F2.
2nd
Field This field controls access to set
defaults on different screens within the First
Resort program. In addition, there are two
levels that screen defaults can be set; User Level and
Business Level. To define screen defaults at the
Business Level the user must be a diagnostic user and
have a 'Y' in this field.
- N = Don't allow
this user to set screen defaults.
Y = Allow
this user to set screen defaults.
- Use System
Date
Y = Automatically pick up the
system date for the current date. N = Allow
this user to use the Set System Date function to
change the system date for this user only.
You have completed entering data for
this user code. Press F10. This signals the
system that you are finished entering data for this
